Through our’ intervention, "Education Center" successfully transformed their digital content approval process. The new system not only significantly reduced the time required to publish content but also improved the accuracy and quality of the digital assets. Client Background & Challenges:

A nonprofit organization, referred to as "Education Center" faced a cumbersome digital content approval process, which had become increasingly inefficient over time. Each mistake in content led to an additional step in the review process, culminating in a lengthy three-week timeframe for approving and publishing any digital content.

Project Goals and Objectives:

  • Streamline the Approval Process: Reduce the review time from creation to publication, thereby shortening the overall content approval process.
  • Maintain or Reduce Error Rate: Ensure that the streamlined process does not compromise the quality of content, aiming to maintain or decrease the current level of mistakes.

  • Review Process Redesign: Restructured the review process to be more efficient while reducing the potential for errors.

Obstacles and Solutions:

  • Resistance to Change: Faced challenges with the number of personnel involved in the process and the removal of unnecessary roles. This was overcome by appointing department representatives, ensuring each necessary department had a voice while increasing process efficiency.
  • Maintaining Asset Production: Addressed the challenge of continuing asset production during the transition by temporarily decreasing output during the testing phase. Production was ramped up once the new process was established.
  • Transitioning Existing Assets: Developed a specific strategy to transition assets at different stages of the old process into the new system without compromising their quality.

  • Increased Efficiency: Reduced the time frame for creating and publishing assets from three weeks to four days, a 80% improvement in efficiency.
